Why I Built AlphaLeads to Pull Fresh LLC Filings Every Day
Most lead lists are stale by the time you buy them. I learned this the hard way when I was trying to reach new business owners for my own outreach campaigns. The "fresh" lists I bought from ZoomInfo and Apollo turned out to be 30-60 days old — by which point half the new LLCs had already been contacted by three other salespeople.
That's why I built AlphaLeads to pull fresh business leads daily from state LLC filings. Not weekly. Not monthly. Every single day. Here's what I learned running a system that processes ~4,000 new LLC formations daily across 8 states.
The Problem with Most "Fresh" Lead Sources
When vendors say "fresh leads," they usually mean their database was updated sometime in the last month. I tested this by signing up for trial accounts with Lead411, UpLead, and a few others. I'd pull "new business" lists and cross-reference them against actual state filing dates.
The results were consistently disappointing. A "new" Florida LLC formation list from a major vendor showed filing dates ranging from 3 weeks to 2 months old. By the time I got that lead, the business owner had already:
- Been contacted by their incorporating attorney's insurance partner
- Received cold emails from at least two business bank reps
- Gotten calls from QuickBooks and similar accounting software vendors
I needed leads that were actually fresh — businesses that filed their LLC paperwork yesterday or this morning, not last month.
Building a Daily Data Pipeline
Real freshness means pulling directly from the source: state secretary-of-state databases. I started with Delaware and Florida, then expanded to Texas, Nevada, Colorado, Wyoming, North Carolina, and New York. These 8 states account for roughly 60% of all new LLC formations in the US.
The technical challenge wasn't scraping the data — most states publish daily filing reports in reasonably structured formats. The challenge was processing it fast enough to maintain true daily delivery while filtering out the noise.
Here's what a typical day looks like: Monday morning, Texas publishes ~800 new LLC filings from Friday. Delaware adds ~200. Florida contributes ~600. Across all 8 states, we're looking at roughly 4,000 new entities that filed in the last 24-48 hours.
But raw state filings include a lot of entities you probably don't want to cold-call. Single-member LLCs formed just to hold real estate. Shell companies with addresses that trace back to incorporation services. LLCs formed by existing businesses just for liability protection on a specific project.
Why AI Classification Matters for Daily Volume
I use Claude Haiku to classify each filing by business type and filter out the obvious non-prospects. This was a hard-learned lesson from my early beta tests.
Initially, I just delivered every new LLC filing with minimal filtering. The feedback from early users was brutal: "Half of these aren't real businesses I can sell to." They were right. Raw state filings include investment holding companies, real estate entities, and single-purpose project LLCs that aren't shopping for insurance, accounting services, or business software.
Claude Haiku reads the business purpose statements from state filings and categorizes each LLC into buckets like "Professional Services," "E-commerce/Retail," "Construction/Trades," "Food & Beverage," etc. It's not perfect — about 15% get miscategorized — but it's fast and cheap enough to process thousands of filings daily while catching the obvious filtering cases.
The result: instead of getting 4,000 raw filings, users get ~2,800 classified leads that are more likely to be actual operating businesses.
What the Contact Enrichment Process Looks Like
State filings give you the business name, registered address, and sometimes the organizer's name. But they rarely include phone numbers or email addresses. That's where enrichment comes in.
I run each filing through a contact enrichment pipeline that searches for websites, social media profiles, and contact information. This is best-effort, not guaranteed — maybe 40-50% of new LLCs have findable contact information in their first week of existence. Many businesses don't set up websites or business phone numbers until weeks or months after filing.
This is one of AlphaLeads' biggest limitations: if you need guaranteed contact info for every lead, you're better off with Apollo or ZoomInfo's aged but enriched databases. My system prioritizes recency over completeness.
Why Daily Beats Weekly or Monthly
I experimented with different delivery frequencies during development. Weekly felt too slow — by Tuesday, Monday's filings were already getting contacted by faster competitors. Monthly was completely useless for time-sensitive outreach.
Daily delivery creates a genuine competitive advantage. When an insurance broker gets Tuesday's Texas LLC filings on Wednesday morning, she's often the first salesperson to reach that business owner. The response rates reflect this: users consistently report 2-4x higher reply rates compared to aged lead lists.
But daily delivery also creates operational pressure. If the Texas Secretary of State website goes down on Friday afternoon, I can't just wait until Monday to catch up. Users expect their daily list every morning. This means building redundancy and monitoring that I wouldn't need for a weekly service.
What Fresh Business Leads Daily Actually Gets You
Here's what to expect if you're buying truly fresh daily leads versus aged monthly lists:
Higher reply rates: New business owners are more likely to respond to outreach in their first few weeks of operation. They're still figuring out vendors and haven't built walls against cold contact yet.
Lower competition: You're reaching prospects before they appear in major lead databases. Most B2B sellers are working from lists that are 30+ days old.
More incomplete data: Fresh means some leads won't have phone numbers, websites, or even business addresses beyond their registered address. You're trading data completeness for timing advantage.
Higher operational overhead: Daily lists require daily follow-up systems. You can't batch-and-blast a week's worth of leads on Friday afternoon.
When to Use Something Else Instead
AlphaLeads works well for reaching newly formed businesses, but it's not the right tool for every outreach scenario:
If you're targeting established businesses (companies that have been operating for 6+ months), aged lead databases like ZoomInfo or Apollo are better choices. They'll have more complete contact information and company details.
If you need technographic data (what software stack a company uses), AlphaLeads can't help. New LLCs haven't had time to build complex tech stacks yet.
If you're only working leads in states outside our current 8-state coverage, you'll need a different data source. We don't cover California, Illinois, or most smaller states yet.
If you need guaranteed phone numbers and email addresses for every lead, stick with traditional lead vendors. Our contact enrichment is best-effort.
The Reality of Running Daily Lead Generation
Building a system that delivers fresh business leads daily taught me that "fresh" and "complete" are almost mutually exclusive in B2B lead generation. The fresher the lead, the less likely you are to have comprehensive contact information and company details.
But for outreach scenarios where timing matters more than data completeness — insurance brokers trying to reach new businesses before they buy coverage elsewhere, accountants wanting to connect with new LLCs before they choose a tax prep service — the trade-off is worth it.
The key is building your outreach process around the reality of fresh data: shorter, more personal messages that acknowledge you're reaching out early in their business journey, and follow-up sequences that give leads time to develop their business infrastructure before asking for complex decisions.
